Inviting your team
Bring the people you work with into your workspace, assign a role, and manage who's in.
Add the people you work with from the Team screen. Each invite goes out by email; when they accept, they land in your workspace with the role you chose.
Sending invites requires the manage members permission. Invites are delivered by email, so a workspace without email configured can't send them — an owner may need to finish email setup first, or share the invite link directly.
Send an invite
Choose a role — it decides what they can see and do from the moment they join.
They get an email, sign in or create an account, and they're in — no separate admin approval step. Anyone creating a new account agrees to the Terms & Conditions and Privacy Policy on the way in; people who already have an account just sign in.
Change someone's role, or remove them, from the Team screen whenever things change.
Inviting several at once
Paste multiple emails (comma, space, or new-line separated), or upload a CSV/TXT and ProjectPacer pulls the addresses out. You can also pre-share specific clients or projects at invite time. Each recipient gets their own invite link.
Managing invites
Pending invites show on the Team screen. Copy link to share an invite directly — this works even if email isn't configured — or Revoke one that's no longer needed. Accepting an invite signs the person in or creates their account carrying the invite, so a member never ends up with a stray empty workspace.
When someone leaves
Open a person from the Team screen and you'll find two ways to off‑board them:
- Deactivate — the everyday choice. They lose access to this workspace and drop out of the pickers (assigning work, approvers). They're hidden from the roster by default — a Show deactivated toggle reveals them, badged Deactivated — but their tracked hours stay in your reports, and you can filter by them. It's fully reversible: reveal them, open them, and hit Reactivate to restore their role and access. Use this when someone leaves, goes on leave, or you're freeing things up but want their history intact.
- Remove — the permanent one. It takes them off the roster for good; to bring them back you'd re‑invite them fresh. Their past hours are still kept in reports, but they're no longer in the people list. Reach for this only when you truly want them gone.
Deactivate is reversible and keeps everything in place — it's the safe default. Remove can't be undone.
Change who owns the workspace
Transfer ownership by setting another member's role to Owner (from their row or the member modal). Once there's a second owner, an owner can step down by lowering their own role.
A member joins your workspace. A collaborator is a sub or partner you share specific work with — they keep their own workspace and only see what you share. See Sharing across workspaces.
ProjectPacer won't let you remove or demote the last owner — someone always holds the keys.
