Bulk editing time entries

Select many entries on the Hours report and change their project, task type, task, person, or description at once — or delete them — with a 30-day undo.

Cleaning up a batch of entries one at a time is slow. On the Hours report you can select many at once and change them together, then undo it later if it wasn't what you wanted.

Who can do this

Bulk actions are limited to owners and admins by default. An admin can extend them to other roles under Settings → Roles, with the “Bulk edit & delete time entries” permission. If you don't see checkboxes on the Hours report, your role doesn't have it yet.

Edit a batch of entries

Select the entries

Open Hours and tick the checkbox on each entry you want — or the header checkbox to select every row shown. A bar appears showing how many are selected.

When your filters match more entries than are on screen, a prompt offers Select all N matching — one click extends the action to every entry that matches the current filters and date range, not just the loaded rows. Touching any individual checkbox switches back to a hand-picked selection. A large "all matching" change asks you to confirm before it runs.

Choose an action

Click Edit, pick what to change, and apply it to all of them:

  • Change project — move them to another project (grouped by client). Task links are cleared, since tasks belong to the old project.
  • Change task type — set the type used for task-type rates, or clear it.
  • Change task — only when every selected entry is on the same project.
  • Reassign person — attribute the time to someone else in the workspace (a member or an external collaborator).
  • Edit description — replace, append to, or find-and-replace within the descriptions.
  • Delete — remove them.
Read the result

You'll see how many changed. If some were skipped — for example, entries in a locked timesheet period, or someone else's time you can't edit — the message says so, and those are left untouched.

You can also Export just the selected entries to CSV from the same bar.

How many at once

A single bulk action covers up to 10,000 entries for the common changes — change project, task type, or person, mark reviewed, replace a description, or delete — and stays reversible for 30 days. Find-and-replace, append-to-description, and setting specific tasks apply to up to 1,000 at a time. Above the limit, narrow the date range or filters and run it in batches.

Locked periods are respected

An entry in a submitted, approved, or locked timesheet period is only changed if you're allowed to override that lock (an admin, or the person's approver/manager). Everyone else's locked entries are skipped, never silently edited.

Undo a bulk change

Every bulk action is reversible for 30 days. Right after one runs, the toast has an Undo button. Later, open Recent bulk changes at the bottom of the Hours report and undo any action still inside its window.

Merge & delete a project or client

When you want to fold one project (or client) into another, use Clients & projects rather than deleting — a plain delete would orphan its time.

Open the project or client

In Clients & projects, open the one you want to retire and choose Merge.

Pick where its time goes

Choose the target. A project merge moves all its entries into the target project; a client merge re-points its projects to the target client, so their entries follow. You'll see how much moves before you confirm.

Undo if needed

The source is archived (not hard-deleted), so a merge is reversible for 30 days. Turn on Show archived in Clients & projects, open the archived item, and choose Undo merge — or undo it from Recent bulk changes on the Hours report.

Exporting your time

Get your hours out as CSV or PDF for billing, payroll, and your records.
